FIELD GUIDE 04 / 15

Create and manage tasks

Create assigned work with priorities, due dates, recurring schedules, comments, files, and dependencies.

Product guide 4 sections

Create a task

  1. 01Choose New Task from My Tasks or a team page, or choose a date from Calendar to start a task for that day.
  2. 02Enter a title, choose the team, and optionally add a description, priority, status, and due date.
  3. 03For recurring work, turn on Recurring task, select daily, weekly, biweekly, or monthly, and optionally set an end date. A recurring task needs a due date.
  4. 04If the selected team has a Slack channel, you can choose to post the new task to that channel.
  5. 05Choose Create Task to save it.
Keep in mind
Task priorities are Low, Medium, and High. To assign an owner, open the saved task and set its assignee in the task edit controls.

Update a task

Open a task by selecting it in a list, board, or calendar. Edit its details, change its status from the status dropdown, and use the task tabs to review comments, files, dependencies, and activity.

  • Set or change the assignee from the task's edit controls. Comments support teammate mentions.
  • Attach files from the task's Files tab or while creating a task. Files require the team's connected Slack workspace and are stored in Slack; the maximum file size is 10 MB. Web-only task management does not imply web-only file storage.
  • Use Dependencies to record work that must be completed first or work that this task blocks.
  • Request an update to move a task into Update Requested. The assignee is notified when applicable.

Use and reorder statuses

Each team starts with To Do, In Progress, Update Requested, and Done. The status dropdown on a task lets team members move it through the team's workflow.

  1. 01A team owner opens the team management menu and chooses Task Statuses.
  2. 02Enter a name and add a custom status. Each team has its own custom statuses.
  3. 03Use the move-up and move-down controls to reorder built-in and custom statuses. The order is reflected in status menus and Kanban columns.
  4. 04To remove a custom status, first move every task out of it. Statuses in use cannot be removed.
Keep in mind
A team can have up to 12 custom statuses. Use the color controls to distinguish statuses within that team. Reordering does not change a status's color. Status changes are also available from supported Slack task actions.

Comments, files, dependencies and recurring tasks

  1. 01Open Draft launch checklist. In Comments, type a progress note and choose a teammate from the @mention suggestions rather than assuming plain text names notify someone.
  2. 02In Files, choose the upload control and select a file under 10 MB. Check that it appears before closing; use the file's open/download control to verify access. Delete an attachment only when it is no longer needed.
  3. 03In Dependencies, add the prerequisite task Approve launch copy. Check the blocking relationship and remove a link if plans change; do not create a circular dependency.
  4. 04For a weekly review, create Review launch metrics with a due date and Weekly recurrence. Mark the current instance Done to create its successor, until the optional end date. Review the next instance instead of creating duplicate recurring series.
  5. 05Use Activity to review recorded changes. Use the task's delete control only for work that should actually be removed; changing status to Done retains the task.
Keep in mind
If an edit fails, verify current team membership, selected company and any billing restriction before retrying. For file errors, check Slack installation, channel access, file size and your Slack file permissions. Do not repeatedly upload the same file while a request is still pending.
